How to send your media kit to a brand, with email examples

Copy three editable media kit emails for a brand pitch, a reply and a follow-up. Includes a downloadable template and checks before sending your link.

Send your media kit with a short email that explains why you are contacting the brand, which work is relevant and what you want to happen next. Put the kit link beside that context. If the brand has already asked for your stats, answer their request before introducing another idea.

Below are three editable emails: an initial pitch, a reply to a kit request and a follow-up. Download all three as a text file, or copy the version you need below. Replace every bracketed placeholder and remove any sentence you cannot support.

An initial pitch with a specific idea

The email needs a reason to exist beyond sending a media kit. Name a product, brief or campaign, then propose something you could make. A genuine connection to the product is useful; a claim that you have followed the brand for years needs to be true.

Choose a work sample that helps the recipient judge the idea. A recipe video may be more relevant to a food brief than your most viewed travel post. Your kit can carry the wider picture without putting every metric into the email.

Hi [name],

I make [type of content] for [audience]. I saw [specific product, campaign or brief] and have an idea for [one sentence describing the content].

[Relevant work link] shows the sort of content I would make. My media kit has my platform stats, audience details and other work: [media kit link].

Are you the right person to speak to about a paid collaboration for [campaign or timeframe]?

Thanks, [name] [social handle]

Delete “audience details” if they are not in the kit you share. If you have a relevant result, you can add it beside the work sample with its period and source. A view count is not evidence of sales, so keep the claim to what you measured.

A reply when a brand asks for your media kit

Reply in the existing thread. If they asked for rates, availability or a particular audience figure, include those answers rather than sending a link and making them ask again.

You can send the kit before agreeing a price. When a brief is incomplete, name what you need to quote: deliverables, dates and how the brand wants to use the content. Our rate card guide covers what to include in that conversation.

Thanks for sending over [brief or campaign details]. Here is my media kit: [media kit link].

For [specific request], [your answer]. I have included [relevant platform or work sample] for this brief.

To quote for the work, could you confirm [missing deliverables, dates or content usage details]?

Thanks, [name]

If the brief is complete, replace the question with your quote and its scope. For example, specify the content format and whether the quote includes the brand running it as an ad. Avoid presenting a broad rate card as a final price for a brief you have not scoped.

A follow-up that keeps the thread useful

Use the same thread so the recipient has the original idea. If they gave a decision date, follow that timing. Otherwise, base your follow-up on the campaign timeline and allow time for them to review the proposal.

Keep the follow-up short. You do not need to invent urgency or apologise for writing. Include a working kit link, particularly if the original has expired.

If the timing has changed, please let me know and I will leave it there.

If the brand declines, close the conversation. If there is no reply, repeated versions of the same email add little. A later message needs a fresh reason, such as a new brief or a relevant piece of work.

Choose what the recipient sees

Before generating a link, check the kit against the brief. Include the platform they are buying, work that fits the format and the audience information you actually have. If a figure is missing, leave it out or explain the gap instead of filling it with an estimate.

Rates are a choice too. Include them when they help the discussion, or keep them out while you clarify the scope. You do not need to share every platform or every section with every recipient.

Check the email and link before sending

  • Replace all placeholders, including the subject line and social handle.
  • Check that the work sample and kit links open the pages you intend to send.
  • Compare any stats quoted in the email with the version of the kit you are sharing.
  • Open the shared kit outside your signed-in session to check the recipient's view.
  • Make the next step clear: an introduction, missing brief details or a decision on the idea.

If the brand asks for a PDF, clarify what they need. OwlScran exports rate cards as PDFs; it does not export the full media kit as a PDF. You can send the kit link alongside a rate card PDF when both are useful.
